Shipping Your Items to Us

Customers are responsible for securely packaging and shipping their original media (VHS tapes, photographs, slides, audio cassettes, etc.) to Family Heritage Digitizing at their own expense.

We do not provide prepaid inbound shipping labels unless otherwise arranged in writing.

We strongly recommend using a reliable carrier such as UPS or FedEx and:

  • Using a sturdy box (not padded envelopes for tapes)

  • Providing adequate internal cushioning to prevent movement

  • Purchasing tracking

  • Purchasing insurance appropriate to the declared monetary value of your items

Customers are responsible for proper packaging, carrier selection, tracking, and insurance coverage until the shipment is physically received and logged by Family Heritage Digitizing.

Once received, packages are documented and stored in our secure, access-controlled processing facility until project completion.


Return of Original Media

Original media is returned to the customer upon completion of digitization unless the customer explicitly requests in writing that the media be disposed of after processing.

If disposal is requested, original media will be held for up to 30 days following project completion before secure disposal, to allow time for customer confirmation and satisfaction.

Return shipping charges are based on order total and are not adjusted unless otherwise agreed in writing prior to shipment.


Return Shipping of Completed Orders

Upon completion, original media (unless disposal has been requested) and digitized files are securely packaged and returned to the customer.

Return shipping rates are determined at checkout:

  • Orders under $100: Flat rate return shipping

  • Orders $100 and over: Free standard return shipping

Return shipments:

  • Are professionally packaged to prevent damage

  • Include carrier tracking

  • Are insured for the total service amount plus a reasonable estimated replacement value of blank physical media

  • May require signature confirmation for higher-value shipments

Return shipping charges apply based on order total regardless of whether original media is returned, unless otherwise agreed in writing prior to shipment.


Insurance & Liability

Shipping carriers insure packages based on declared monetary value.

Insurance coverage applies to:

  • The prepaid service amount

  • A reasonable estimated replacement value of blank physical media only

Sentimental, historical, archival, or emotional value cannot be insured and is not recoverable.

Customers are responsible for insurance coverage on shipments sent to us.

Family Heritage Digitizing is responsible for insuring return shipments after project completion and carrier pickup.

Liability for any lost or damaged return shipment is strictly limited to the declared insured value of the shipment.


Lost or Damaged Shipments

If a shipment is lost or damaged in transit to our facility, the customer must initiate and manage the claim directly with the selected carrier.

If a return shipment is lost or damaged in transit, Family Heritage Digitizing will assist with the carrier claim process.

Any visible shipping damage must be reported to Family Heritage Digitizing within 5 days of delivery. Failure to report damage within this timeframe may limit the ability to file or recover a carrier claim.


Temporary Backup of Digital Files

For added protection, a secure backup copy of digitized files is retained for 90 days following project completion in case of shipping issues or technical failure.

After 90 days, all backup files are permanently deleted.

Customers are strongly encouraged to back up their files to at least two separate storage locations upon receipt.
